Apollo Care Services

Apollo Care Services is committed to protecting the personal information of our clients, participants, staff, and website visitors. This Privacy Policy explains how we collect, use, store, and disclose personal information, and how you can access or correct information we hold about you.

We handle all personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Health Records and Information Privacy Act 2002 (NSW), the Aged Care Act 2024 (Cth), and the National Disability Insurance Scheme Act 2013 (Cth).

Our Commitment to Your Privacy

At Apollo Care Services, privacy is not a legal obligation — it is an expression of the respect and dignity every person deserves. We are committed to handling all personal information with care, transparency, and confidentiality, whether you are an aged care client, an NDIS participant, a family member, or a visitor to our website.

Our staff are trained in privacy obligations and our processes are reviewed regularly to ensure they remain consistent with current Australian privacy law and care sector standards.

Information We Collect

Personal Information

We collect personal information that is necessary to deliver safe and personalised care services. This may include your name and contact details, address, date of birth, emergency contact details, and details of authorised representatives or legal guardians.

Health and Support Information

To provide appropriate care, we may collect health information including medical conditions, support needs, care preferences, medication records, and service delivery records. This information is collected only to the extent necessary for safe and effective service delivery, and with your informed consent.

Website Usage Information

When you visit our website, we may collect limited technical data such as browser type, pages visited, and general location. This information is used solely to improve the performance and usability of our website. It does not include sensitive health or personal information.

How We Use Your Information

We use personal information to deliver and manage aged care and NDIS support services, develop and review care and support plans, communicate with clients, participants, and their families, fulfil our obligations under government-funded programs including the Support at Home program and the NDIS, meet legal and regulatory requirements, and improve the quality of our services.

We will never sell, rent, or misuse your personal information.

Consent

Before collecting your personal information, we will explain why it is needed, how it will be used and stored, who it may be shared with, and your rights to access, correct, or withdraw consent. We obtain written consent prior to collecting, storing, and using your information, and will always respect your right to decline or withdraw consent where this is lawful.

Protecting Your Personal Information

Apollo Care Services takes all reasonable steps to protect personal information from misuse, loss, unauthorised access, and disclosure. Our safeguards include secure electronic and physical storage systems, access controls limiting information to authorised staff only, regular staff training in privacy and confidentiality, and annual privacy audits conducted by the Directors.

All records relating to aged care and NDIS service delivery are retained for a minimum of seven years in accordance with applicable legislation.

Sharing Your Information

We only share personal information where it is necessary and lawful to do so. This includes sharing with healthcare or allied health professionals involved in your care, government agencies administering the Support at Home program or the NDIS, and other parties where required or authorised by Australian law, including mandatory reporting obligations.

Where information is to be disclosed to an overseas recipient, we will take all reasonable steps required under APP 8 of the Australian Privacy Principles before doing so.

We will not share your information with any other party without your written consent, except where we are required to by law or where failure to disclose would place the safety, health, or wellbeing of any person at risk.

Data Breaches

Apollo Care Services is subject to the Notifiable Data Breaches (NDB) Scheme under the Privacy Act 1988 (Cth). If we become aware of a data breach that is likely to result in serious harm to any affected individual, we will notify those individuals and the Office of the Australian Information Commissioner (OAIC) as required by law. We maintain a Data Breach Response Plan to ensure breaches are identified, contained, and managed promptly.

Your Privacy Rights

You have the right to request access to personal information we hold about you, and to request corrections if that information is inaccurate, incomplete, or out of date. Access requests will be responded to within two working days. In some circumstances, access may be limited — for example, where providing access would unreasonably affect the privacy of another individual or where required by law. Where access is declined, we will provide a written explanation.
